Esper EHS ("Esper," "we," "us," or "our") provides a platform for tracking contractor insurance, licenses, training, and safety records. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to esper-ehs.com and the Esper application itself.

1. Information We Collect

Information you provide directly:

  • Account information — name, email address, employer/company, and role, when you or your organization creates an Esper account.
  • Compliance documents — insurance certificates, licenses, training records, and related files uploaded to the platform, which may contain personal information about your employees or contractors (such as names and certification details).
  • Contact and inquiry information — name, email, company, and general details about your organization, when you submit our contact form or request more information.
  • Support requests — the content of any message you send us, plus any file you choose to attach.

Information collected automatically:

  • Standard server logs — IP address, browser type, and pages visited, generated automatically by our hosting infrastructure for security and troubleshooting purposes.

We do not use third-party advertising or analytics trackers on esper-ehs.com. We do not sell personal information.

2. How We Use Information

We use the information we collect to:

  • Provide, operate, and maintain the Esper platform for you and your organization
  • Send account notifications, expiration alerts, and other service-related communications
  • Respond to support requests and inquiries
  • Protect the security and integrity of our platform
  • Comply with legal obligations

3. How We Share Information

We don't sell your information, and we don't share it with advertisers. We do work with a small number of service providers who process data on our behalf, strictly to operate Esper:

  • Cloud hosting and infrastructure providers, to run the application
  • Cloud file storage, to store uploaded documents securely
  • Transactional email delivery, to send account and notification emails
  • Google reCAPTCHA, to protect our public forms from automated abuse — subject to Google's own Privacy Policy

Within your organization's account, information you upload is visible according to the roles and permissions your organization configures — for example, a client company and the contractors connected to it each see only what's relevant to their relationship. We may also disclose information if required by law or to protect the rights, safety, or property of Esper or others.

4. Data Security

We take reasonable technical and organizational measures to protect information in our care, including encrypted connections (HTTPS) for all traffic to and from the platform, private storage for uploaded documents with time-limited access links rather than public files, and access controls scoped to your organization's own data. No online service can guarantee absolute security, but we treat the compliance documents you trust us with the way we'd want a vendor to treat ours.

5. Data Retention

We retain account and document information for as long as your organization's account is active, or as needed to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements. If you'd like your organization's data deleted, contact us and we'll work with you on it, subject to any records we're required to keep by law.

6. Your Rights and Choices

Depending on where you're located, you may have the right to request access to, correction of, or deletion of your personal information. If you'd like to make a request, reach out to us through the contact form on this site, and we'll respond as promptly as we can.

7. Cookies

Esper uses cookies only for core functionality — to keep you signed in and to protect forms from cross-site request forgery. We don't use cookies for advertising or cross-site tracking.

8. Children's Privacy

Esper is a business tool intended for use by working professionals and is not directed to children. We don't knowingly collect personal information from anyone under 16.

9. International Users

Esper is operated from the United States, and information we collect is processed and stored in the United States. If you access Esper from outside the United States, you understand that your information will be transferred to and processed in the United States.

We may update this Privacy Policy from time to time as Esper grows. If we make material changes, we'll update the "Last updated" date at the top of this page. We encourage you to review this page periodically.
